IT Systems Administrator

You'll help the Director of Technology manage and develop HFL's IT needs and infrastructure.

About the position

The IT Systems Administrator supports the Director of Technology in the day-to-day operation, development, and maintenance of HFL’s information technology systems. This role is hands-on and service-oriented, with a strong emphasis on software systems, SaaS platforms, and internal application development, particularly within Microsoft’s ecosystem.

The IT Systems Administrator plays a key role in supporting and extending HFL’s Dynamics 365 CRM, Microsoft 365 tenant, Teams, SharePoint, and related cloud services, while also providing general IT support such as device setup, troubleshooting, and user assistance. This role helps ensure that technology systems are reliable, secure, and effectively aligned with HFL’s mission and operational needs.

Key Responsibilities

  1. Software Systems & Application Support
    • Assist in the configuration, customization, and ongoing development of HFL’s Dynamics 365 CRM environment, including forms, views, workflows, integrations, and automations.
    • Support the implementation and maintenance of SaaS platforms used across the organization.
    • Assist with application testing, troubleshooting, documentation, and continuous improvement.
    • Collaborate with the Director of Technology on full-stack development initiatives related to internal systems.
  2. Microsoft 365, Teams & SharePoint
    •  Support administration of the Microsoft 365 tenant, including users, licenses, security groups, and permissions.
    • Assist in building, maintaining, and improving Microsoft Teams and SharePoint sites, libraries, and workflows.
    • Help users adopt and effectively use M365 tools through training, documentation, and hands-on support.
  3. IT Operations & End-User Support
    • Provide front-line technical support to staff for hardware, software, and connectivity issues.
    • Set up, configure, upgrade, and maintain staff computers and mobile devices (PC andMac).
    • Troubleshoot and resolve issues related to operating systems, applications, printers, and peripherals.
    • Assist with onboarding and offboarding of staff from an IT systems perspective.
  4. Infrastructure, Security & BestPractices
    • Assist in maintaining IT security practices, including user access controls, device security, and basic compliance requirements.
    • Support monitoring and upkeep of networks, backups, and system reliability in coordination with the Director of Technology.
    • Help document IT procedures, configurations, and standards.

Additional responsibilities

  • Participate in staff meetings and collaborative planning as needed.
  • Promote HFL vision, mission, and values through service and professionalism.
  • Participate in general ministry tasks as required.

  • Reliable Day-to-Day IT Support: Timely and effective resolution of staff IT issues; positive staff experience with IT services.
  • Effective Systems Support: Well-maintained Dynamics 365, Microsoft 365, Teams, and SharePoint environments that support organizational workflows.
  • Strong Collaboration: Productive partnership with the Director of Technology; clear communication and follow-through on assigned projects.
  • Continuous Improvement: Documented improvements to systems, processes, or user experience over time.

Education & Experience

  • Diploma or Bachelor’s degree in information technology, computer science, or relatedfield, or equivalent practical experience.
  • Experience working with Microsoft 365 (Exchange, Teams, SharePoint, OneDrive).
  • Experience with SaaS platforms and business software solutions.
  • Exposure to CRM systems (Dynamics 365 experience an asset).
  • Experience supporting both Windows and macOS environments.
  • Basic understanding of networking, security, and IT best practices.

Working Conditions

  • Office-based role with occasional remote flexibility
  • Standard schedule: Monday to Friday (32 – 40 hours per week)
  • Must be comfortable working within a faith-based organizational culture
